QForm Group FZ LLC, Creative Tower, P.O. Box 4422, Fujairah, United Arab Emirates, provides services to Micas and may process personal data only on Micas' documented instructions. Local QForm UK distributors normally act as independent controllers for data they collect for their own sales, contracts, invoicing and support and should provide their own privacy information.
2. Personal information we collect
Depending on how you interact with us, we may collect:
- your name, work email address, telephone number, employer, job title, country and postal address where needed;
- enquiries, quotations, contracts, invoices, licences and support records;
- information submitted for demonstrations, trials, training, events or competitions;
- account, licence, device, login and security information;
- marketing choices and interactions with our communications;
- technical or user-generated content that you provide to us; and
- website data such as IP address, browser, pages visited, referral information and cookie or similar identifiers.
We collect this information from you, your employer, a QForm UK distributor or partner, public professional sources, and our websites or software.
Where information is needed to enter into or perform a contract, meet a legal requirement, provide a licence or service, or respond to your request, failure to provide it may mean that we cannot proceed. Please do not provide information that is not necessary for your request.
3. User-generated and technical content
You may send us text, documents, technical information, files, images, simulation data, comments or other material when requesting a demonstration, training or technical support. If this content contains personal data, we use it under this policy. Please make sure that you have permission to provide personal data about another person.
4. How and why we use personal information
We use personal data for the following purposes and lawful bases:
- to answer enquiries, prepare quotations and take requested steps before a contract: contract steps and our legitimate interests in responding to business enquiries;
- to provide licences, software, demonstrations, trials, training and support: performance of a contract;
- to manage customer, supplier, distributor and other business relationships: contract and our legitimate business interests;
- to operate, secure and improve our websites, software and services: our legitimate interests in security, administration and improvement, and consent where required for non-essential cookies or similar technologies;

We do not sell personal data. Data submitted through website forms is stored in our CRM system.

- QForm Group FZ LLC and local QForm UK distributors or representatives where needed to deal with your request or provide a product or service;
- hosting, CRM, email, communications, analytics, payment, accounting, security and other service providers;
- accountants, auditors, insurers, lawyers and other professional advisers;
- regulators, courts, law-enforcement bodies or other authorities where required by law; and
- a buyer or adviser in a genuine or proposed corporate transaction.
Organisations processing personal data for us must protect it and may use it only for the agreed service and in accordance with our instructions.

Personal data may be processed in the United Kingdom, the European Economic Area, the United Arab Emirates and other countries used by our service providers.

- event, training and competition records for three years, although published results may remain in an archive;
- marketing data until you unsubscribe or for two years after the last meaningful engagement; and
- security logs for up to two years, unless they are needed for an investigation.
We may keep information longer where the law, a dispute or a legal claim requires it. When information is no longer needed, we delete, anonymise or securely dispose of it where reasonably practicable.

We use appropriate technical and organisational measures, including access controls, authentication, encryption in transit, backups, logging, confidentiality duties and supplier controls. No internet transmission or electronic storage system can be guaranteed to be completely secure.
